Keeping your client list organized is essential for providing exceptional service and maintaining a smooth workflow. This guide will help you sort, organize, and manage your clients' booking history efficiently. Whether you need to quickly reference past appointments or categorize clients for better management, you'll learn how to streamline your client list to improve productivity and deliver a personalized experience.
We know that insights regarding your clients' booking habits are important to you, so we’ve added the Top Clients feature to your Client List! This new client sorting filter will showcase your Top Clients and bring them to the top of your client list.
How do we determine top clients?
Your top clients are ranked and sorted by highest appointment frequency, total amount paid, tip amounts paid, and lowest cancellation rate throughout the current year.
Here’s how to discover your Top Clients:
- Go to the Clients tab
- Click the three dots on the right side and choose sort by Top Clients
- This will put your Top Clients (ranked 1-10) at the top of the list, and continue on in groups of 10 throughout your client list.
There's a lot of client information in your profile that we want to make as easy for you to access as possible. If you ever need to get a list of your clients and the basic information on their client accounts, you can export a list right from your profile at any time! Your list will include, client names, email, contact information, and client notes will be exported.
How to Export Your Client List
- Go to the Clients tab of your profile
- Click the 3 dots in the top right corner of your screen
- Click the option to Export Client List
- Confirm the correct email in the confirmation window, then click Send
Once you click Send, you're all set! The list will be sent to the email address on file for your account attached as a .csv file.
NOTE: For security purposes, client lists can only be sent to the email listed on your profile.
You can export your client list from StyleSeat as long as your professional subscription is active. If your account is no longer active, please reach out to us directly by selecting Need Help? in our StyleSeat Help Center, and we can help with getting a list sent to you.
How to Manually Add Clients
- Tap on the Clients tab
- Tap Add New Client
- Enter the client's information
- Optionally, you can tap Add More Details to put in additional info like their address or birthday
- Tap Save
NOTE: Having your clients already added in our system makes sure we know they are coming to book with you as a referral. This helps us focus on trying to bring more new clients your way through our marketing efforts, and improves the accuracy of our New Client Connection program.
NOTE: If you ever need to get just one or two clients added to your client list, we've got you covered. You can create a new client listing at any time, right from your Client tab.
How to Import Clients from Your Contacts
We know that a lot of our Pros know their clients personally, and communicate with them through text. Because of this, we built in the option to import your phone's contacts directly into your client list! Here's how to do it:
- Navigate to the Clients tab
- Tap Add New Client
- Tap Import from Contacts and allow StyleSeat access
- Choose which contacts you want to import to your list
- Tap Import
If you have a list of existing clients that you'd like to get added to the system, all we need from you is a spreadsheet with a few pieces of information, and we can help you out! You can use a program like Excel or Google Sheets to export a .CSV file with the following information included for each client:
- First Name
- Last Name
- Email address
- Phone Number
Please make sure that each of the above points is in its own column on the spreadsheet. When you enter the information into the spreadsheet, make sure there are none of the following that could cause an issue with the import:
- Duplicate Entries
- Extra columns
- Special characters like a (-) or (*)
For example, enter a phone number as 1234567890, not 123-456-7890
Once you have that list completed and create the .CSV file, you can attach it to a request in our Help Center and our team can get that imported into your new profile!
Too many duplicates getting in the way of managing and booking your clients? You can merge those duplicates together to keep your client list from getting too bloated.
If duplicate clients are identified we will notify you with a pop-up on your client list, which will give you the option to consolidate these entries.
NOTE: If your client creates duplicate accounts that each have their own past bookings, these cannot be merged.
How To Merge Clients
- Go to the Clients tab and choose one of the client accounts you'd like to merge (you'll choose the other account to merge later in the process)
- Click on the Edit button in the top right
- From the client's main account screen, click the Merge icon
- This will take you to a screen showing a list of your clients
- Pick the client account you want to merge into the other
- Click Merge
- Click Confirm
NOTE: All appointment notes will be saved from both clients. Any duplicate info will be removed.
NOTE: This action cannot be undone. Please review the suggested duplicate listings before proceeding to merge client accounts.
It can be tough to say goodbye, but we know sometimes it has to happen. When it's time, we want to make the process of deleting clients from your account as quick and easy as possible for you.
Deleting A Client
- Go to the Clients tab of your profile and click on the client that needs to be deleted
- Click Edit in the top right hand corner
- From the Edit Client window, click the Delete option at the top of the window
- Click Delete in the confirmation window to finalize the deletion
We know that sometimes a Pro and Client may not be a good fit for each other. If you want or need to prevent a client from booking with you again, we built in the option to block a client in your list.
Blocking A Client
- Go to the Clients tab of your profile and find the client that needs to be blocked
- Click on the Edit button in the top right of your screen
- From the Edit Client window, click the Block option at the top of the window
- Fill in the reason for blocking the client, then click Submit in the top right
Note: The block will be applied to the existing client account. It is possible that a blocked client could create another account, and if this happens and you continue to have issues with the client, please do not hesitate to send in a ticket and let us know, and our Compliance team can help to monitor the situation.
